Submitting a Data Request
To submit a new data request, log in to ServiceDesk using your SMCM SSO and create a new ticket in the Institutional Research queue.
By requesting data from the Office of Institutional Research & Planning and/or the Registrar, the requestor agrees to the shared responsibilities outlined below.
Requestor Responsibilities
- Maintaining the integrity and confidentiality of the approved data
- Only using the data received for the approved specified project
- Providing adequate lead time for the offices to process the request
- Providing clear guidance as to the information requested
Institutional Research & Registrar Responsibilities
- Responding to approved data requests by providing accurate data in a timely manner
- Assisting requesting offices in determining appropriate information for their data needs
- Providing context, interpretation, explanation, and/or analysis of data as needed by the requesting office
- Restricting further access to data if it has been used for unauthorized purpose, or data integrity or security is found to be not maintained
FERPA
The Offices of Institutional Research & Planning and the Registrar are both bound by the Family Educational Rights and Privacy Act (FERPA) of 1974. Additional information regarding FERPA can be obtained on the Registrar’s web site and contained within the To the Point Student Handbook. As a result, all requests are reviewed to ensure compliance with both FERPA and institutional policies.
Shared Responsibility
The release of requested information is a shared responsibility between the Offices of Institutional Research & Planning, the Registrar, and the requesting individual or department.
