Guidelines for People and Operations

  1. A number of faculty and staff have been physically present on campus this past year. Department/unit heads will develop plans that have staff returning in June and July, gradually increasing days on campus. By no later than August 2, 2021 all offices will be open weekdays during core business hours, 8 a.m. – 5 p.m. Students may not be used to staff an office area or suite alone, unless that was the practice prior to COVID-19.

  2. Prior to August 2, 2021, department/unit leaders are responsible for equitable and appropriate space/staff distributions, for ensuring sufficient staff are present for phone and walk-in interactions, and for informing staff of the unit plans for phasing in on-campus work according to the transition phasing document.

  3. For staff, if your position is eligible for telework based on your job description and assigned duties, your supervisor will advise you and work with you to make the appropriate arrangements. These arrangements will follow the SMCM Telework Policy which will be updated so that it includes both 100% telework and partial telework guidelines.

  4. College-sponsored travel requires adherence to CDC/state/county/State Department guidelines.

  5. Visitors, consultants, and guests are fully permitted on campus, provided SMCM protocols are followed, including doing the symptom tracker. Department/unit heads are responsible for ensuring that visitors/consultants/guests follow safety and capacity requirements.

  6. We expect to host in-person events in the fall. The size of groups that will be accommodated will depend on St. Mary’s County Health Department guidance.

  7. Student programs, services, and resources that were virtual or online will return to in-person in the fall semester, with careful attention to safety and capacity issues and with judicious use of virtual engagement when appropriate.

  8. Department/unit heads are encouraged to continue exploring ways in which technology can continue to support providing excellent service and engagement opportunities.

  9. The Wellness Center will provide PPE (masks and sanitizer) upon request.

Schedule

  1. ARC Facilities: Monday-Friday 6 a.m.-9 p.m., Saturday/Sunday 10 a.m.-6 p.m.
  2. Climbing Wall: Monday-Thursday 3 p.m.-9 p.m., Friday 3 p.m.-6 p.m., Saturday/Sunday 1 p.m.-4 p.m.
  3. Pool: Monday-Friday 12 p.m.-2 p.m. & 6 p.m.-8 p.m., Saturday 12 p.m.-4 p.m.

Policies

  1. The ARC Facilities will maintain the requirement for use of face covering while working out in the MPOARC.
  2. Patrons continue to wipe down machines before and after use.
  3. Patrons continue to enter via the Welcome Desk doors. Other entrances remain closed.
  4. Evaluate capacity limits to allow more patrons in individual spaces.
  5. General public is allowed to use our facilities.
  6. Continue with SMCM Daily Symptom Tracker and temperature check to gain entry into MPOARC.
  7. Locker Rooms will be open, but patrons will be required to wear a face covering while in the locker rooms.

Group Fitness Classes – Return to In-Person Classes

  1. Group fitness class limits at 12 persons.
  2. Instructors may maintain the virtual option as well.

Athletics

Game Policy (HOME)

  1. Athletes required to complete the SMCM Daily Symptom Tracker and temperature checked prior to warm-ups
  2. Athletic Training Services
    • Appointment based only
    • Please be aware of pregame treatments. ATCs may be required to tape other team at a separate location
  3. Opponents
    • Will be greeted by Game Ops staff
      • Verify SMCM Daily Symptom Tracker
      • Verify Covid testing if necessary
    • Need Athletic Training Attestation form completed prior to arrival
      • Medical professional signing off that they are following NCAA minimum testing standards
  4. Officials
    • Will be greeted by Game Ops staff
      • Verify SMCM Daily Symptom Tracker
      • Verify Covid testing if necessary
    • Locker Rooms will be closed, unless requested prior to the game
  5. Game time
    • Coaches and Officials
      • Must remain masked dependent on vaccination information and testing
    • Benches will be available
      • Water/ice will be provided for each bench
      • Cleaning measures of balls and/or equipment
        • Governing body recommendations considered
      • Symptomatic Athlete during game time
        • Quarantine room will be designated on site if such incident occurs

Game Policy (AWAY)

  1. Coach and/or athletic trainer to verify SMCM Daily Symptom Tracker for athletes prior to getting on bus

  3. Only athletes/coaches/staff being tested or fully vaccinated will be allowed on bus
    • Must have PCR test within 72 hours prior to departure or antigen test within 24 hours – unless fully vaccinated
    • Coaches have option for rapid test within 24 hours of departure – unless fully vaccinated

Travel Policy

  1. Prior to Getting on Bus – To be determined as regulations are updated

    • Statement to the student-athletes that if anyone develops symptoms, to talk to a coach or athletic trainer immediately
  2. On Bus – To be determined as regulations are updated
    • No eating meals on bus
      • Limited snacks and drinks
      • Must wear face coverings at all times on bus
    • Socially distanced on bus if possible
    • If meals are necessary, contact away institution to secure a space outside of venue (preferably)
      • Contact Crystal Gibson if accommodations cannot be made
    • Follow away site rules and regulations

Testing

**Testing will be mandatory for all participants who are not fully vaccinated**

SMCM athletics will be utilizing Antigen tests to fulfill NCAA guidelines for athletic participation. As
testing will be based on the specific season and game schedule, it is imperative that any and all changes are discussed with the head athletic trainer and sports medicine staff to ensure adequate scheduling of tests and obtaining tests is plausible.

  1. Notification of Test:
    • The head athletic trainer or sports medicine staff will email the head coach with details of who, when, and where. It is the coach’s responsibility to inform the athletes of those details.
  2. Who Is Required to be Tested (Exception for fully vaccinated individuals)

  5. Missed Test:
    • If any ATHLETE misses a test for any reason-subject to 7-10 day athletic quarantine
    • If known that an athlete will miss a test, please discuss with the head athletic trainer to discuss
      possible options.
    • Coaches that miss a test:
      • Must get their own test if one can’t be provided by athletics
      • Minimally 1 PCR test per 2 weeks in order to be on sidelines
      • If travelling on bus, must have test within 72 hours
      • Rapid Antigen/PCR test acceptable for coach’s only ~24 hours or day of game

Wellness Center

Waiting room

  1. Students and staff will follow the current College policy on face coverings in indoor spaces.
  2. If the campus removes the requirement to wear a face covering in indoor spaces the Wellness Center reserves the right to ask anyone in the Center to wear a face covering if they have symptoms of illness.
  3. Staff members will follow current campus guidelines about face coverings in their individual spaces and when gathering for meetings.

Medical exam rooms

  1. Healthcare staff will wear appropriate PPE when interacting with students/patients.
  2. Students will be asked to wear a face covering during medical exams as appropriate.
  3. Use of masks and other safety measures at events will reflect the current policy on campus.

Library

Hours of operation AY 21-22

  1. Library: Sunday 12 p.m. – 10 p.m.; Monday-Thursday 8 a.m.-10 p.m.; Friday 8 a.m.-7 p.m.; Saturday 12 p.m.-5 p.m.
    • These hours will be assessed after the fall and changed, if needed, based on traffic and feedback.
  2. Archives: By appointment only.
  3. Media Center: Access to the 3rd floor will align with the library hours; access to services (equipment room, recording studio, and lab) will be determined by the Office of Information Technology (OIT). Please reach out to them directly by submitting a Media Center ticket at https://servicedesk.smcm.edu/
  4. W&SC: Appointments can be made through their online scheduler; walk-in services are available only if a tutor is on duty. Hours are pending but will not extend beyond library hours; no evenings and weekends; typical hours vary based on tutor availability, appointment demand, and budget.
  5. CITL: Operating hours: Monday-Friday 8 a.m.-5 p.m., CITL only (this will be monitored by both CITL and library staff). Monday-Friday 5 p.m.-8 a.m., student access to common area and computer lab; Saturday and Sunday 24-hour access. Signage will be posted at the entrance as well as in the computer lab.

Access to spaces and services:

  1. On-call reference librarians
    • Will be offered with both in-person and virtual sessions.
    • Appointments preferred outside of on-call hours.
  2. Face coverings required unless patron is actively eating or drinking, monitored by staff; symptoms check required (faculty, staff, and students complete SMCM Daily Symptom Tracker; community patrons are to complete symptom tracker prior to entering the building and be prepared to show CLEARED status, if needed).

  3. Study rooms
    • Return to regular room capacity (based on size of each room).
    • Face coverings requirement remains in place.
  4. Open to community members
    • Community patrons are to complete the SMCM Daily Symptom Tracker prior to entering the building and be prepared to show CLEARED status, if needed. Signage with the Wellness Center website and QR code are posted at the entrance of the library lobby and once you enter the library itself.
  5. Item loan/access
    • All items available for loan will return to regular loan status.
    • Access to all collections will be granted.

Outreach and engagement

  1. We are working towards identifying areas and services we provide that need to be brought to attention. We will be using social media, print advertising, and displays within the library to highlight these services for student awareness.
  2. Using social media, print advertising, and displays to promote events taking place at the library (book sales, displays, etc.) and events sponsored by the library.

  6. Guests will present the cleared, green, check mark to their host upon arrival to campus.
