We appreciate your interest in serving as a project site leader for this year’s SMCM Bay to Bay Service Days! The following information will detail the responsibilities of a project leader and serve as a guide as you develop your project.
Project Ideas
- Organize a beach, riverbed, or park clean up
- Volunteer at a food bank, food pantry, or soup kitchen
- Weed a community garden
- Clean up, paint, or decorate a facility serving youth, seniors, or patients
Project Guidelines
- Must be a non-profit organization
- Should be completed within six hours, ideally no more than three hours
- Cannot start before 7 a.m. or end after 9 p.m.
- The non-profit organization needs to assume liability for volunteers
- All projects are subject to approval by the Office of Alumni Relations
Dates and Deadlines
- January 31 – Complete site proposals must be submitted to the Office of Alumni Relations
- February 28 – Site leaders will be informed of their project proposal status
- March 1 – Projects will be advertised
- March 1 – Registration will open
Expectations of Project Leaders
Before
- Contact the non-profit organization to discuss the project details
- Submit a project proposal to the Office of Alumni Relations using the online form
- Clarify all project details with the Office of Alumni Relations
- Respond to all communications from the organization being served and the Office of Alumni Relations in a timely manner
On the Day
- Greet volunteers on site – take attendance, distribute t-shirts and name tags, etc.
- Take photos (or delegate that responsibility)
- Serve as a liaison between organization and volunteers
- Ensure safety of all participants as best as possible
- Organize a post-event social (optional)
After
- Complete the post-event survey
- Submit photos and attendance information to the Office of Alumni Relations
